Corporate Travel Portal — Terms & Conditions

By registering for or using the Ados Travel Co corporate travel portal, you agree to be bound by these Terms and Conditions. Please read them carefully before using the service. If you do not agree, do not register or use the portal.

1. Acceptance of Terms

1.1 These Terms and Conditions ("Terms") govern your use of the Ados Travel Co corporate travel portal and associated services ("Service").

1.2 These Terms apply to the company that has registered for the Service ("you", "your", "Client") and all individuals authorised to use the account, including travel bookers and travellers.

1.3 By clicking "I Agree" at registration, by submitting a booking request, or by continuing to use the Service, you confirm that:

  • You are authorised to enter into these Terms on behalf of your company
  • Your company has read and understood these Terms
  • Your company agrees to be bound by them

1.4 These Terms are read alongside your Corporate Travel Services Agreement with Ados Travel Co. Where there is any inconsistency, the Corporate Travel Services Agreement prevails.

2. Account Registration and Security

2.1 To use the Service, your company must complete the registration process and provide accurate, current, and complete information, including company details, traveller profiles, and billing information.

2.2 You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

2.3 You must notify Ados Travel Co immediately if you suspect any unauthorised access to your account or any security breach.

2.4 Ados Travel Co reserves the right to refuse registration, suspend, or terminate accounts at its discretion, including where information provided is found to be false or incomplete.

2.5 You must ensure that only authorised employees submit booking requests through your account. You are responsible for all bookings made by individuals accessing your account.

3. Booking Requests and Confirmation Process

3.1 To request a booking, submit a travel request via the portal, email, or agreed channel, including:

  • Traveller name(s) and contact details
  • Travel dates and destinations
  • Accommodation preferences (if applicable)
  • Any special requirements
  • Applicable cost centre or project code

3.2 A booking request is not confirmed until Ados Travel Co sends written confirmation (email or portal notification). Do not assume a request is booked until you receive confirmation.

3.3 Ados Travel Co will use reasonable endeavours to complete standard booking requests within 60 minutes during business hours (Monday to Friday, 8:00am to 6:00pm AWST). This is a service commitment, not a guarantee.

3.4 You are responsible for reviewing all booking confirmations carefully and notifying Ados Travel Co immediately of any errors or discrepancies. Ados Travel Co is not responsible for costs arising from errors that were not reported promptly.

3.5 All bookings are subject to availability at the time of confirmation. Ados Travel Co cannot guarantee the availability of any specific fare, room, or vehicle.

4. Pricing, Fees and Payment

4.1 Transaction Fees: Flight booking fees apply per booking based on your company's annual travel spend tier, as set out in your Corporate Travel Services Agreement. Current fee tiers are:

Hotel, car hire, transfer, and ancillary bookings carry no separate booking fee to the Client.

4.2 No Monthly Fee: There is no monthly management or subscription fee. You pay only for flight bookings made on your behalf.

4.3 Travel Costs: The cost of fares, accommodation, car hire, and other travel services is charged at the rate confirmed at the time of booking. Prices are quoted in Australian Dollars (AUD) and include GST where applicable.

4.4 Price Validity: Prices quoted are only valid at the time of quoting and for the specific fare or rate quoted. Prices may change before a booking is confirmed.

4.5 Payment: Payment is due in accordance with the invoice terms set out in your Corporate Travel Services Agreement. Overdue accounts may result in suspension of the Service.

4.6 Fee Changes: Ados Travel Co may update its fee schedule from time to time. You will be given 30 days' written notice of any changes. Continued use of the Service after the notice period constitutes acceptance of the updated fees.

5. Cancellations and Amendments

5.1 You may request changes or cancellations to bookings by contacting your assigned agent in writing.

5.2 Supplier Cancellation Fees: Most travel bookings are subject to supplier terms and conditions. Cancellation fees, change fees, and non-refundable deposits are imposed by the supplier (airline, hotel, car hire company) and are the Client's responsibility. Ados Travel Co will advise you of applicable fees before processing any cancellation or amendment where possible.

5.3 Amendment Fees: An Ados Travel Co amendment fee may apply for booking changes, in addition to supplier fees. Current amendment fees are available in your Corporate Travel Services Agreement.

5.4 Non-refundable Fares: Where a non-refundable or restricted fare has been booked at your direction or in accordance with your travel policy, you accept that no refund will be available in the event of cancellation or change.

5.5 Refunds: Where a refund is owed by a supplier, Ados Travel Co will act as your agent in pursuing the refund. Refund timeframes are set by the supplier and may take several weeks. Ados Travel Co is not liable for delays in supplier refunds.

6. Supplier Terms

6.1 When Ados Travel Co makes a booking on your behalf, a direct contract is formed between your company (or the relevant traveller) and the supplier (airline, hotel, car hire company, transfer provider, or other service provider).

6.2 You and your travellers are bound by the supplier's terms and conditions, including conditions of carriage, hotel policies, car hire rental agreements, and cancellation policies.

6.3 It is your responsibility to ensure travellers are aware of and comply with the applicable supplier terms and conditions.

6.4 Ados Travel Co acts as an agent only and has no control over suppliers' policies, pricing, availability, or service quality.

7. Travel Insurance

7.1 Ados Travel Co strongly recommends that all travellers obtain comprehensive travel insurance prior to travel.

7.2 Ados Travel Co does not hold an Australian Financial Services Licence (AFSL) and does not provide financial advice or insurance recommendations. Any travel insurance information provided is general in nature only.

7.3 Ados Travel Co is not liable for any loss, damage, injury, medical expense, cancellation cost, or other expense that could have been covered by travel insurance, if the traveller did not obtain appropriate coverage.

7.4 The decision to purchase travel insurance, and the type and extent of cover obtained, is entirely the Client's and traveller's responsibility.

8. Passports, Visas and Travel Documents

8.1 The Client and each traveller are solely responsible for:

  • Holding a valid passport with sufficient validity for their destination(s)
  • Obtaining all required visas and entry permits
  • Meeting all health and vaccination requirements for their destination(s)
  • Complying with all customs, immigration, and border regulations

8.2 Ados Travel Co may provide general information about visa and documentation requirements as a convenience. This information is provided in good faith but may not be current or complete. It is not a substitute for checking official government sources (e.g. the Australian Department of Foreign Affairs and Trade — smartraveller.gov.au).

8.3 Ados Travel Co is not responsible for any costs, losses, or consequences arising from a traveller's failure to hold valid travel documents or meet entry requirements.

9. Limitation of Liability

9.1 Ados Travel Co acts as a travel agent arranging travel services with third-party suppliers. We are not the airline, hotel operator, car hire company, or any other supplier. Our role is to arrange bookings on your behalf.

9.2 To the maximum extent permitted by law, Ados Travel Co is not liable for:

  • Any failure, cancellation, delay, or change in services provided by a supplier
  • Any loss, injury, damage, or expense arising from a supplier's acts or omissions
  • Any indirect, consequential, or special loss, including loss of profit or business opportunity
  • Events outside our reasonable control (including force majeure events — see clause 9.3)

9.3 Force Majeure: Ados Travel Co is not liable for any failure or delay in performance caused by circumstances beyond our reasonable control, including natural disasters, pandemics, acts of terrorism, government actions, airline or infrastructure disruptions, or other events outside our control.

9.4 Where liability cannot be excluded by law (including under the Australian Consumer Law), Ados Travel Co's liability is limited to re-performing the relevant service or refunding the fees paid for that service — whichever is lesser.

9.5 Nothing in these Terms limits rights you may have under the Australian Consumer Law that cannot be excluded by contract.

10. Privacy and Data Use

10.1 Ados Travel Co collects, uses, and stores personal information about you and your travellers in accordance with our Privacy Policy, available at www.adostravelco.com/privacy, and in compliance with the Privacy Act 1988 (Cth).

10.2 By using the Service, you consent to Ados Travel Co collecting and using personal information as described in our Privacy Policy, and you confirm that you have obtained all necessary consents from your travellers for their information to be shared with us.

10.3 Personal information is used solely for the purpose of delivering the services. It will not be sold or shared with third parties except as required to fulfil bookings (e.g. providing passenger details to airlines, hotels, and other suppliers).

10.4 You have the right to access and correct personal information we hold about you and your travellers. Contact us at privacy@adostravelco.com to make a request.

11. Acceptable Use

11.1 You agree not to use the Service for any unlawful purpose, or in a way that violates these Terms.

11.2 You agree not to attempt to gain unauthorised access to any part of the Service, or to disrupt or damage the Service in any way.

11.3 You agree not to submit false, misleading, or fraudulent booking requests.

12. Changes to These Terms

12.1 Ados Travel Co may update these Terms from time to time. We will notify you of material changes by email or via the portal.

12.2 Your continued use of the Service after the updated Terms take effect constitutes your acceptance of the changes.

12.3 If you do not agree to the updated Terms, you may terminate your account by providing written notice in accordance with your Corporate Travel Services Agreement.

13. Governing Law

These Terms are governed by the laws of Western Australia, Australia. You submit to the non-exclusive jurisdiction of the courts of Western Australia for any dispute arising out of or in connection with these Terms.
