Ados Travel Co ("Ados", "we", "us", "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, store and protect personal information in connection with our corporate travel booking services and the Ados corporate travel portal (the "Portal").

We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. What information we collect

  • Account information: name, work email, phone, role, company, and login credentials.
  • Traveller information: full legal name, date of birth, passport / visa details, frequent flyer numbers, seat/meal preferences, and emergency contact.
  • Trip information: destinations, dates, purpose of travel, cost centre, approvers, PNRs and itineraries.
  • Billing information: business address, ABN, invoicing contact and payment records. We do not store full card numbers — card capture is tokenised by our payment provider.
  • Accessibility & health notes: only where you or the traveller provides them to support the booking. Treated as sensitive information and access-restricted to the assigned Ados agent.
  • Usage data: IP address, browser, timestamps, page paths and actions inside the Portal.

2. How we collect it

Directly from you when you apply for an account, submit a travel request, upload a document or contact us; and automatically from your device when you use the Portal (cookies and similar technologies).

3. How we use it

  • To provide, operate and improve the Portal and our concierge travel service.
  • To book, ticket, amend or cancel travel on your instructions.
  • To satisfy identity, security, tax, aviation and immigration requirements.
  • To send transactional communications (confirmations, itineraries, invoices, reminders).
  • To respond to enquiries and provide 24/7 traveller support.
  • To detect, investigate and prevent fraud, misuse and security incidents.
  • To comply with our legal, regulatory and contractual obligations.

4. Who we share it with

We share the minimum information required with:

  • Airlines, hotels, ground operators, insurers and other travel suppliers to fulfil bookings.
  • Global distribution systems (GDS) and IATA / TIDS-accredited settlement providers.
  • Our authorised sub-processors: hosting, database, email delivery and analytics providers.
  • Payment processors (e.g. Stripe) to collect card payments.
  • Your nominated company approvers, bookers and finance contacts inside your workspace.
  • Regulators, law enforcement or courts where required by law.

We do not sell your personal information.

5. Overseas disclosure

Some of our suppliers and sub-processors operate outside Australia (including the United States and the European Union). We take reasonable steps to ensure recipients handle your information in a manner consistent with the APPs.

6. Security

The Portal enforces role-based access controls and row-level security so that a company's data is only visible to its authorised users and to the Ados staff handling the request. Data in transit is protected with TLS; databases and file storage are encrypted at rest by our infrastructure provider. Passwords are hashed and checked against known-breached-password lists.

7. Retention

We retain personal information for as long as your company has an active account and for a further period necessary to comply with tax, financial and legal record-keeping obligations (typically 7 years for booking and invoice records).

8. Your rights

You may request access to, correction of, or deletion of your personal information subject to our legal obligations. Company administrators can update or remove traveller profiles directly in the Portal. To make a privacy request, email info@adostravelco.com.

9. Cookies

We use cookies and similar technologies to keep you signed in, remember preferences and measure Portal usage. You can control cookies in your browser settings; some Portal features will not work without them.

10. Complaints

If you believe we have breached your privacy, contact us at info@adostravelco.com. If you are not satisfied with our response you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).

11. Changes to this policy

We may update this policy from time to time. Material changes will be notified through the Portal. The current version is always available at /privacy.
